The short answer
The Warm AI and HeyReach integration sends the people Warm identifies on your website into a HeyReach list, ready for LinkedIn outreach. You can send people automatically by segment, or one at a time from their contact card. Each person arrives with their name, job title, company and location where Warm has them. Warm never starts a campaign: nothing is sent until you add the list to a HeyReach campaign yourself.
The integration is included on every Warm AI plan. You need your own HeyReach account.
What the integration does
- No exports. Identified visitors go from Warm into HeyReach directly, with no CSV files to download, clean and upload.
- Routing by segment. Send each Warm segment you build, such as high intent or repeat visitors, to its own HeyReach list, so each group gets a campaign that fits it.
- Speed. People go to HeyReach automatically when Warm identifies them, so you can contact them while the visit is recent.
- Context for your first message. Leads arrive with their name, job title, company and location where Warm has them, ready to use in your messages.
- You stay in control. Leads land in a list, not a live campaign. You decide who is contacted and when.
Which visitors can be sent to HeyReach?
Only people Warm identifies by name, which today means visitors in the US. HeyReach runs outreach from LinkedIn profiles, so it needs a named person.
Warm shows UK, EU and other non-US visitors as companies, not people, so they are not sent to HeyReach. You still see them in Warm, and you can send companies to HubSpot or get alerts in Slack or by email.
How to set it up
Apart from copying your API key from HeyReach, the whole setup happens inside Warm. Connecting HeyReach needs no code and nothing from your developers. HeyReach also has its own setup guide.
- Copy your HeyReach API key. In HeyReach, go to Integrations, open the API section and copy your key, or create a new one. Treat it like a password.
- Open the HeyReach integration in Warm. In Warm, go to Integrations, find HeyReach and click Connect HeyReach.
- Paste your API key. Warm checks the key and shows a Verified label once it has connected to your HeyReach account.
- Choose your default list. Pick the HeyReach list that every identified visitor goes to unless a routing rule sends them elsewhere. Warm suggests a list for its leads and creates it in HeyReach if it does not exist yet.
- Add routing rules (optional). Click Add rule, choose a Warm segment, then choose the HeyReach list it should go to.
- Save. Click Connect. From then on, identified visitors go to your HeyReach lists automatically.
We recommend a dedicated default list for Warm leads, so you can always see which leads came from website visits.
How routing rules work
Routing rules send different Warm segments to different HeyReach lists. Warm checks the rules from top to bottom and uses the first one that matches, so each person goes to one list only. Anyone who matches no rule goes to your default list.

Sending one visitor at a time
You can also send any visitor by hand. Open their contact card in Warm and click Send to HeyReach. Warm confirms which list they were added to. This is useful when you want to put someone in a specific list straight away.
Starting outreach in HeyReach
- Open your Lists in HeyReach and find the Warm leads.
- Check job titles and companies, and remove anyone who is not a fit.
- Create a campaign, or open an existing one, and add the list as its lead source.
- Start the campaign when you are happy with the sequence.
Use the job title, company and location from Warm as variables in your HeyReach messages, so your first message is specific to the person.
What results look like
On a campaign built from Warm AI website visitors, HeyReach saw a 43% reply rate on LinkedIn and a 13% reply rate on email, with 60% or more of replies interested.

If something is not working
